How to create a subweb

What is a subweb?

A subweb is a separate 'web' that resides within your main web site.

To the outside world it looks like 'just another sub-folder' on your site. However, a subweb generally has unique permissions that :

  1. gives a user(s) permission author/maintain the information in the subweb (but not on the rest of your site)
  2. places restrictions on who can view it (a password protected site).
Subwebs can be very useful because:
  1. they keep all your web material under one 'home'
  2. they clearly define who can work on what (users and permissions)
  3. the overall Web administrator still has total control over the site, and can change passwords, delete users, etc ... as required.

 Create a subweb 

1. Open your site LIVE in FrontPage (http://webhelp.ednet.ns.ca/support_info.html#3) Click here for larger picture
2. Create a new folder by selecting File > New > Folder and rename it to whatever you want. Click here for larger picture
3. click on the folder ONE time - don't open it, just highlight it Click here for larger picture
4. 'right click' on the new folder, and 'convert to web' (... yes, you REALLY want to do this! :) ) This folder now has a blue dot on it, indicating that it's a subweb Click here for larger picture
5. double-click on the new subWeb, and it will open (empty) in a new FrontPage window  

 Give the subweb special permissions 

You almost always want to have unique permissions for a subweb because 'there is something special about the information' (who can see it? who can update it?) that makes it more than just 'another sub-folder'.

1. Double Click your new subweb, (created above) to open a new window. Click here for larger picture
2. Select tools > security > permissions Click here for larger picture
3. Click on 'use unique permissions for this web' - click 'apply' Click here for larger picture
4. when prompted, give your main administrative userid and password (the overall one for your site) to verify the changes  

 Add a new user 

A user can be a group or an individual.

You need to add a user so that they will have their own unique login (otherwise you'd have to give them your main admin login ... and then they have full admin access to your site).

2. Assign a Name and Password (both your choice, but be sure to remember them!) Click here for larger picture
3. Decide what kind of access to the subweb you want to give this user:
  • Browse this Web : look at information
  • Author and Browse this Web : look at information : make changes/upload/delete to information
  • Administer, author and browser this Web : look at information : make changes/upload/delete to information | create subwebs, add users, etc ...

(in most cases you will only want to give browse or author/browse). make your selection, click 'apply'

 Password Protect your Subweb 

1. Do you want to password-restrict this part of the Web so that only you and your new user can view it? If yes: select > 'only registered users have browse access' - click 'apply'. Click here for larger picture
2. When users try to look at the information on this part of the site they will have to have the userid and password - otherwise they are denied access. Click here for larger picture

 Maintaining your Subweb 

Is your subweb going to be maintained (authored) by a user?

If so, the subweb-author will need to follow the same directions as outlined in uploading your site in frontpage / working on your frontpage web LIVE.

There are a couple of differences.

The subweb author/maintainer:

1. Will use an URL that is an extension of the URL for your main site, eg:
  • Your URL is http://mysite.ednet.ns.ca

  • The subweb URL is http://mysite.ednet.ns.ca/subweb-folder-name/
 
2. Will use the USERID and PASSWORD that you assigned to them when you established the subweb  
3. will only be able to update pages in this part of the web (unless you decide to give them extra priveleges).
